Inventory tracking

Parts & inventory tracking, barcode to build

Stock levels, reorder alerts, multiple UPCs per part, scan-to-receive, and bill-of-materials kitting — all tied to the equipment your parts service.

Stock levels & reorder alerts

Track quantity on hand with reorder thresholds and low-stock / out-of-stock flags so you reorder before you run out.

Multiple barcodes per part

A part can carry several UPCs with two-level packaging (units per pack × packs per case) — so an each, a six-pack, and a case each scan correctly.

Scan to receive

Scan a UPC (or pick a part), enter how many you got, and GearHive adds the right number of units to stock and logs the receipt.

Kitting & bills of materials

Define a part as built from component parts. 'Build N' consumes the components from stock and adds the finished assembly.

Cycle counts

Count by store room or type, reconcile by scan, photo, or manual entry — with matched / difference / missing tracking and Excel export.

Linked to your equipment

Parts are tied to the machines they fit, so you always know what's compatible and what to keep on the shelf.

Frequently asked questions

Can I scan barcodes to receive stock?
Yes. Use a USB/Bluetooth barcode reader (or type the code) on the Receive screen — GearHive identifies the part and adds the quantity to stock.
Can a part have more than one UPC?
Yes. Kitted parts often have several UPCs (one per packaging type), each with its own units-per-pack and packs-per-case, so every code adds the correct number of units.
Does it support kits or bills of materials?
Yes. Define an assembly's components and quantities, then 'build' it — GearHive consumes the components from stock and adds the finished part (and blocks the build if a component is short).
Can I do cycle counts?
Yes — build a count by store room or type, reconcile by scan / photo / manual entry, and export the sheet to Excel.
Is there low-stock alerting?
Yes. Set a reorder threshold per part and GearHive flags low and out-of-stock items on the dashboard and parts list.
