GearHive ("GearHive," "we," "us") is an equipment, asset, and maintenance management application operated by Intelligon Investments LLC. This policy explains what information we collect through our website (gearhive.cloud) and our mobile apps, how we use it, and the choices you have.
Information we collect
- Account information — your name, email address, and a securely hashed password when you create an account, and the company/team you belong to.
- Content you add — the equipment, assets, parts, vendors, work orders, maintenance records, inventory counts, and any documents or photos you upload to organize your operation.
- Camera — our mobile apps use your device camera to scan barcodes and QR codes; that scanning happens on your device. If you choose to photograph a nameplate or receipt to auto-fill an item, that image is sent to our AI providers (below) to extract the relevant details.
- Usage and device data — standard log information (such as IP address and app/browser type) used to operate and secure the service.
How we use information
- To provide, maintain, and improve the service and your account.
- To store and display the equipment and records you create.
- To power optional AI features — identifying a device from a photo, reading a receipt, and suggesting maintenance plans.
- To secure the service, prevent abuse, and comply with legal obligations.
Service providers
We use trusted third parties to run GearHive. They process data only to provide their services to us:
- Vercel — application hosting and content delivery.
- Turso — database storage for your account and records.
- Vercel Blob — storage for the documents and photos you upload.
- Cloudflare — domain and DNS.
- OpenAI — AI features (device identification, receipt reading, maintenance suggestions). Images and text you submit to these features are sent to OpenAI for processing.
- Serper — web search to find product information and manuals.
Sharing
We do not sell your personal information. We share data only with the service providers above, when required by law, or to protect the rights and safety of our users and the service.
Data retention
We keep your information for as long as your account is active. You can ask us to delete your account and associated data at any time by contacting us.
Security
Connections are encrypted with HTTPS, passwords are stored only as salted hashes, and each company's data is isolated from others. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information.
Your rights
You may request access to, correction of, or deletion of your personal information. Email us and we will respond within a reasonable time.
Children
GearHive is a business tool, is not directed to children under 13, and we do not knowingly collect their information.
Changes
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.
